NoteVault Features


Workers can post messages via:

  • A phone call to NoteVault (including from land lines)
  • Email
  • The NoteVault website (add notes, upload photos and video from your computer)

Transcription

NoteVault transcribes the voice into text with computers and/or human editors which ensures Quality of Service (QoS). NoteVault guarantees transcription turn around times (TAT) or else the transcription is FREE*. Available turn around times are (Transcription rates vary based on TAT) :

  • Less than five minutes.
  • Less than 12 hours.

* Add four times the length of the recording in minutes to turn around times ( e.g. for a 30 second message, multiple by 4 and then add 5 minutes equaling 7 minutes. Another example is for a 5 minute message multiple by 4 and then add 5 minutes equaling 25 minutes).


Translation

Spanish dictation, when available, will be transcribed into English. There may be grammatical errors with the translated text, therefore users will need to review the text before final posting.


Reports

NoteVault provides printable reports in various PDF formats according to the role the person has in the project. For example:

  • Daily Construction Reports (daily logs) which can include detail for:
    • Weather
    • Manpower
    • Materials
    • Subcontractors
    • Equipment
    • General
  • Safety Reports
  • Subcontractor Reports (submitted by subcontractors)

Customers may request custom formats. If accepted, the new format will become available for a small fee in the NoteVault library of forms.


Issue tracking

Notes can be linked to other notes, photos, etc. enabling subscribers to track issues on their project such as extra work, back charges, accidents etc.


Review

As an option, NoteVault sends an email notice to the creator of the dictation that the transcribed text is ready for final review before posting. Changes and corrections can be made at this time.


Notifications

There are three levels of notifications:

  • Field workers can be notified by text message at (pick a time) if no notes are posted that day (working days only). The text message reminds them to do their reporting.
  • If no notes are posted for (pick a number of days) then a notification is escalated enabling your firm to follow up with the superintendent to ensure compliance with your risk mitigation procedures.
  • Key words. Account owners and project managers can request special notifications of notes that contain key words such as back "charge", "delay", "accident", or "change order". Notifications can be by email or RSS.

Hosting

NoteVault is a secure fully hosted solution so there is no need to purchase computer hardware or software.


Storage

NoteVault data is stored for ten years from the date of posting unless customers delete the data earlier or the creater of the content is no longer a subscriber. Click NoteVault Data Storage for more information.


Integration into other software

NoteVault data can be sent directly into other data bases such as Prolog, Primavera Contract Manager (Expedition), or other project management software. Please contact us for more information.
